Understanding the Just-in-Time Process in Grant Funding

JIT is a process where NIH applicants are asked to provide additional information if their award seems likely. PIs and the emails on record for the submission receive an automatic email notification for applications with a score of 30 or less. This does not indicate imminent funding nor act as a Notice of Award. Specific JIT requests are followed up by a 2nd email from the Grants management specialist. This is your official notification and request for JIT materials.

Questions to Ask Your Manager

  • Where can I access the effort information for key personnel involved in grants? Is this data stored in an internal system or is it recorded manually?
  • Do I have the necessary Administrative Official access in eRA Commons to manage the JIT process?
  • How is confirmation of IACUC/IRB information handled, and who can I contact if I have questions about this?
  • How does our organization track Human Subject Certification training?
  • Where can I find information on the direct costs associated with individual projects for compiling the Other Support section?
  • Besides eRA Commons, is there another internal system where I might need to upload JIT information?
  • Has the organization already published a policy or procedure that outlines the JIT process for you to follow?
